The Role

We're looking for an Agency Operations & Client Success Manager to become the operational backbone of our company.

Your job is simple:

Keep clients happy, keep projects moving, and ensure nothing falls through the cracks.

You'll work directly with the founder, helping transform ideas into organized plans and ensuring our team executes at a high level.

This role sits at the intersection of operations, project management, client success, and executive support.

Responsibilities

Client Success & Communication

  • Manage ongoing client communication

  • Coordinate approvals and feedback

  • Conduct routine client check-ins

  • Ensure clients feel informed and supported

  • Proactively identify client needs and opportunities

Project & Production Management

  • Coordinate content creation schedules

  • Schedule and organize photo/video shoots

  • Manage content calendars across multiple clients

  • Ensure content is planned and ready ahead of deadlines

  • Monitor project timelines and deliverables

Team & Contractor Coordination

  • Coordinate photographers, editors, designers, and contractors

  • Track project status and deadlines

  • Ensure team members have what they need to execute

  • Help create accountability across projects

Operations & Systems

  • Build and improve internal processes

  • Create and maintain SOPs

  • Organize files, workflows, and project management systems

  • Help implement AI tools and automation where appropriate

  • Generate reports and performance updates

Executive Support

  • Manage scheduling and calendar coordination

  • Help prioritize tasks and projects

  • Filter and organize incoming requests

  • Ensure the founder stays focused on high-value activities

What Success Looks Like

Within 90 days:

  • Every client has a clear content plan

  • Shoots are scheduled proactively

  • Content is planned in advance

  • Contractors are coordinated without founder involvement

  • Client communication is organized and consistent

  • Internal systems are documented and improving

Most importantly:

The founder spends significantly less time managing operations and significantly more time focused on growth, strategy, sales, and creative direction.

Who You Are

  • Extremely organized

  • Strong communicator

  • Proactive and resourceful

  • Comfortable managing multiple projects simultaneously

  • Able to anticipate problems before they happen

  • Calm under pressure

  • Detail-oriented without losing sight of the big picture

  • Excited by building systems and improving processes

Preferred Experience

  • Agency experience

  • Social media marketing experience

  • Project management experience

  • Client success or account management experience

  • Familiarity with tools such as ClickUp, Asana, Monday, Notion, Google Workspace, Slack, and AI tools

Compensation

  • Contractor position to start

  • 30–40 hours per week

  • Compensation range: $3,000–$4,500/month depending on experience and ownership level

  • Opportunity to grow into a senior operations leadership role as the company scales
